BOOKING CHANGES AND AMENDMENTS POLICY
1. Notice and Request Deadline
Any request to amend a booking, including changes to departure dates, traveller names, room arrangements, transportation, service upgrades, or other booking details, should be submitted to Nomadic Soul Travel in writing at least 7 days before departure.
Requests received within 7 days of departure may still be considered, but their feasibility will depend on service availability and the applicable conditions of individual suppliers.
2. Additional Costs
Any amendment may result in additional charges, including but not limited to:
- Price differences applicable at the time of the change
- Date-change or name-change fees
- Supplier handling or amendment fees
- Upgrade or service adjustment costs
- Other actual expenses arising from the requested change
Nomadic Soul Travel will advise the traveller or travel partner of any applicable additional charges before confirming the amendment.
3. Subject to Supplier Conditions and Availability
All amendments are subject to availability, booking conditions, and the policies of the relevant service providers, including hotels, transport operators, cruise operators, airlines, attractions, and activity providers.
Nomadic Soul Travel cannot guarantee that every requested amendment can be accommodated.
4. Name Changes and Traveller Substitution
Requests to change a traveller’s name or substitute one traveller for another may require supporting identification documents, such as passport details or other personal information necessary to update the booking.
Depending on the supplier’s conditions, name changes or traveller substitutions may be subject to additional fees or may not be permitted for certain confirmed services.
5. Service Upgrades and Adjustments
Travellers may request upgrades or adjustments to services such as room categories, hotel standards, transportation, or additional services.
Any applicable price difference and amendment fee must be paid before the requested change can be confirmed.
6. Non-Amendable Services
Certain confirmed services may be non-changeable, non-cancellable, or non-refundable under the applicable supplier conditions. These may include:
- Air tickets or transport tickets with restrictive conditions
- Promotional or non-refundable rates
- Hotel bookings subject to special conditions
- Services during peak seasons, public holidays, or high-demand periods
- Attraction tickets, activities, or services already issued and confirmed
In such cases, the relevant supplier’s terms and conditions will apply.
7. How to Submit an Amendment Request
All amendment requests should be submitted in writing by email or through Nomadic Soul Travel’s official communication channels.
Please provide:
- Booking reference or booking identification details
- Name of the booking holder or traveller
- Details of the requested change
- Preferred date or time for the amendment
- Any additional information requested by Nomadic Soul Travel
8. Confirmation of Amendments
An amendment will only become effective once:
- Nomadic Soul Travel has confirmed the change in writing; and
- Any applicable price difference, amendment fee, or additional charge has been paid.
A request that has not been confirmed in writing by Nomadic Soul Travel will not be considered an official amendment to the booking.
9. Time Zone and Applicable Deadlines
All dates, deadlines, and time references relating to booking amendments are based on Indochina Time, ICT (GMT+7), unless otherwise agreed in writing.
